Anyone who manages GLPI knows the situation: assets get assigned to users, but there is never a formal acknowledgement that the user is aware of what was handed to them and that the data is accurate. No signature, no date, no document.
The problem is even more acute in companies with remote offices, where asset handover becomes a complex process: signed papers that have to physically travel from one location to another, with all the delays and risk of loss that comes with it.
With Used Items Export Plus, built for one of our key clients, this problem disappears. The GLPI plugin adds a self-service confirmation workflow on top of the PDF export feature already present in the upstream useditemsexport plugin by Teclib.
What’s new compared to the original
Helpdesk menu entry for end users – Every logged-in user sees a new My assets entry in the helpdesk menu. One click shows them the full list of assets assigned to them (Computers, Monitors, Phones, Consumables…) and lets them confirm everything looks correct.
“Confirm and generate PDF” in a single action – The button is final: pressing it generates a PDF that includes a formal acknowledgement block with the user’s name and the confirmation timestamp. No separate forms, no multi-step wizards. Lock after confirmation once confirmed, the user cannot generate a new export until an administrator resets it. This ensures the archived PDF is always the “official” one.
Admin overview panel – In the GLPI central menu, technicians and administrators find a page listing every confirmed export across all users, with PDF download links and a Reset button to unlock a new confirmation.
Tab on the user profile – Each user profile gains a dedicated tab showing the active confirmation (if any) and the reset button.
The starting point was a need for a digital receipt acknowledged by the user without leaving GLPI, without managing Excel sheets, without opening manual tickets. The PDF export in the original plugin was already solid; what was missing was the moment of explicit user confirmation and a subsequent lock to prevent duplicates.
Asset handover has never been a priority in IT. But when it’s missing, problems arrive on schedule: disputes, failed audits, untracked responsibilities. Used Items Export Plus closes that gap – silently, in one click, without changing anyone’s workflow.
